Accessing the app
The Teacher's Assistant tool is a web-based application, meaning you access it from your phone's browser rather than downloading it from the app store. To use the app:
- Login:
-If you are NOT logged in to ASAP go here: https://admin.asapconnected.com/account/login?returnUrl=mobile
-If you are already logged in you can use the link above OR https://admin.asapconnected.com/teacher-assistant - enter your org ID and your regular ASAP username and password
- before you login, check the "Remember me" check box. That will prevent you from having to re-enter your org ID and username every time you use the app.
After you have logged in and you can see your schedule you should bookmark the app so you can access it whenever you want. Click here for instructions on how to bookmark the app if you need them.
Viewing your schedule
After you login, the first thing you'll see is your schedule for today. If you would like to see more dates, click on the calendar to expand the date range. You can select a specific date range or use the quick filter to select Last Month, Last 3 Months, Last 6 months or return to Today. Once you have selected your dates, hit apply.
As you move up or down, notice how the date for the events you are viewing sticks to the top of the screen. That is how you know where you are in the schedule.
See the label “Attendance take”? That indicates that attendance has already been recorded for that class or private lesson. The label makes it easy for you to find which classes or private lesson you still need to take attendance for.
Taking Attendance
To take attendance for a class, touch the name of the class in your schedule and the class will expand to show all of the students and allow you to take attendance for that class. The attendance page will look slightly different depending on whether you are viewing a group class or a private lesson.
For a class, this is how the screen will appear:
For a private lesson, this is how the page will appear:
A couple of important notes:
- You cannot enter attendance for classes that begin on a future date
- You cannot enter attendance if your organization has processed payroll for the date that the class or lesson took place
(When a class is in the future or payroll has been processed for it and you try to enter attendance for it, you will see a red lock and the words "Attendance Locked" on the attendance page for that class.)
Attendance for Group Classes
To take attendance for a group class, select ALL PRESENT. This will mark all the students present.
If most or all of your students are present, you can click the All Present and then uncheck any students who are not present. Otherwise, you can mark each individual students present.
- The check mark marks the student as present
- The X marks the student as absent
- Clicking the ellipsis opens up the option to mark the student as being tardy or leaving early
Attendance for Private Lessons
To take attendance, you will see a drop down to the right of the student’s name. Select the appropriate option from the drop down.
Leave a note for your students
For a class, click the pencil icon next to the attendance. This will open a window that will allow you to enter your note and save it.
For a private lesson, click the pencil icon next to the attendance drop down. This will open a window that will allow you to enter your note and save it.
Contacting your Students
You also have the ability to communicate with the student right from this page.
You can send an email to a specific student by checking the box next to the student’s name, then clicking on the email icon on the attendance page for that class or lesson. Clicking on the envelop icon allows you to email that student if the student has a valid email entered in ASAP.
You can send an SMS to a student enrolled in a private lesson by checking the box next to the student’s name, then clicking the dialogue icon. Clicking the dialogue bubble allows you to send an SMS to the student if the student has a valid mobile phone number entered in ASAP.
In addition, you can call a student enrolled in a private lesson by clicking the phone icon
NOTE: Emails and SMS are sent from the user’s phone applications and are not tracked within ASAP. Please be aware that any messaging rates could apply to the user based on their mobile plan.
